Windows beta · Getting started
Get started in 3 steps
Start on the MyCarerHub website and select Tester portal. You do not need a special link from support. The portal shows your next step whenever you return.
1. Create and secure your account
- Select Create an account. Enter an email address you can access, choose a website password of at least 10 characters and enter it again to confirm. Select Create account.
- Open the confirmation email and follow its link. Return to the portal and sign in if asked. Already registered? Sign in with your existing account.
- Set up the required authenticator. Choose Set up two-step verification if shown. On your phone, open Google Authenticator or Microsoft Authenticator and add an account. Scan the setup QR code on the computer, or enter the private setup key. Enter the changing six-digit code on the portal and select Verify code.
Name the authenticator entry MyCarerHub + your email. Use this same entry for website and desktop testing access. Never share the QR code or setup key.
2. Accept the agreement and get approved
- Enter your preferred name if asked. Open the beta documents link and read the agreement, software licence and privacy notices.
- Close the documents tab to return to the portal. Tick the agreement checkbox. Select Apply for testing access, or Accept and continue if you already applied.
- Wait for administrator approval. Application received — waiting for approval means you have finished this step. Check your email or select Check my status.
Your 14-day trial begins when the administrator approves you. Opening the agreement link alone does not record acceptance.
3. Install and start
- Once approved, select Download MyCarerHub. Open the downloaded installer, follow Setup and select Finish. If the download does not start, use the download link that appears. Already installed? Select I already have MyCarerHub installed.
- Select Continue to Step 3 for the first-use instructions. Open the MyCarerHub desktop shortcut if the app has not opened automatically.
- On first use, follow the desktop setup prompts to create a desktop unlock password. On later visits, use that password to unlock this computer’s workspace.
- At Activate your testing access, enter your website email and website password, then the current code from that email account’s authenticator entry.
- When access is active, save your recovery code safely. Select Continue to Overview, add a fictional placement and make your first encrypted backup.
Two passwords, two purposes: your website password signs in to your account; your desktop unlock password opens the saved workspace on this computer. Website sign-in does not automatically sign in to the desktop app.
Need guidance? Select Show me the next step in the portal. A visual pointer highlights the next field or button. It does not enter details, accept terms or click for you.
Your first practice: 1. 2. 3.
- Choose the file. Open Placements and create one fictional placement. Save it and check that its details appear correctly.
- Record one task. Open Health, add a fictional appointment, save it and check Calendar. Open the saved appointment to check the date and person. No external reminder is sent.
- Save and protect. Reopen your saved information. Open Backups, download an encrypted backup and use Check a saved backup with its recovery code. Keep a second copy separately, then lock the CRM when finished.
Next, use the full User guide for each page, what to enter, why it matters and how to fix common problems.
Optional: set up your email
You can use the CRM without connecting email. This beta connects to Gmail; direct iCloud and Outlook connections are not included in this release. Use a Gmail account approved for the beta and fictional test messages only. You need internet access to connect, browse Gmail or send.
- Connect your Gmail account. In the desktop CRM, open Email in the sidebar, then select Connect Gmail. On Google’s sign-in screen, choose the intended account, review the requested permissions and continue if you agree. Enter your Google password only on Google’s sign-in screen.
- Check the connection. Return to Email and look for Connected to followed by the correct email address. If it is the wrong account, select Disconnect Gmail, then connect the intended account. Connecting does not automatically copy your inbox into MyCarerHub.
- Save one fictional test email. Choose the correct child or Household file using the file selector. Select Browse Gmail, find a fictional test message and select Preview. Check the contents and attachments, then select Save this email and attachments to selected file and confirm the destination. Open Saved in MyCarerHub and check that the message appears in the correct file.
Check: the correct Gmail address is connected, and the test message appears in the selected file. A preview alone does not save an email. The beta supports messages up to 2 MB including attachments.
If you want to test sending
Use an agreed test recipient and fictional information. Choose the correct file, open Write an email, complete the message and select Save draft to selected file. Saving a draft does not send it. Select Review and send, check the recipient, message and attachments, then confirm. “Accepted by Gmail” does not confirm delivery; check receipt with your test recipient. If the result is uncertain, check Gmail Sent before trying again.
Disconnecting
In Email, select Disconnect Gmail and confirm. Emails already saved in MyCarerHub remain there. Use the Google account permissions link if you also want to review or remove MyCarerHub’s access in Google. Disconnecting does not delete saved correspondence.
If connecting or saving fails
- “Google connection settings have not been installed” or Connect Gmail is unavailable.
- Contact MyCarerHub support. The release needs its Google connection settings; testers do not need to create their own Google Cloud project or API keys.
- Google blocks access or says the app is unavailable.
- Check the selected account and internet connection. Your Gmail address may need to be added to the approved beta accounts. Send support the error wording, not passwords or codes. Do not bypass a Google security warning.
- I cannot find the saved message.
- Check the selected file, open Saved in MyCarerHub and select Refresh saved emails. Make sure you completed Save this email and attachments rather than only Preview.
Beta check still outstanding: live Gmail connection, import, sending and delivery checks have not yet been completed for this prepared release. These instructions describe its current controls; tell support if your screen or result differs.
Sign-in help: what to do next
- No authenticator set up yet?
- Open the tester portal and complete Show setup code and verification. This is a required security step. Return to the desktop app afterwards and sign in again.
- The code is rejected.
- Check that the authenticator entry matches the email you signed in with. Use a fresh six-digit code before it changes. Keep your phone date and time set automatically. Do not delete a working entry or create several entries for the same account. If it still fails, contact support for help.
- I lost my phone or no longer have the authenticator.
- Contact admin@managingcare.com.au for an identity-checked recovery process. A password reset alone does not remove two-step verification. Never send a password, code, QR image, setup key or household recovery code.
- Sign-in succeeded, but editing access was not granted.
- Open the tester portal and check approval. If it says approved, contact support about this computer’s registration. Once resolved, select Check approval again in the desktop app.
- There is a connection problem.
- Reconnect to the internet and try again. Previously verified offline editing lasts only until the expiry shown. Read-only viewing and backups do not activate editing or bypass account verification.
Which password or code?
- Website account password
- For the tester portal and trial account sign-in. Use Reset account password if forgotten.
- Desktop unlock password
- For opening your local care workspace. It is separate from the website password; an account-password reset will not unlock local records.
- Authenticator code
- A changing six-digit code from the authenticator app you linked to your account. Compatible apps include Google Authenticator, Microsoft Authenticator and 2FAS.
- Backup recovery code
- The complete code used to check or recover an encrypted backup. Keep it private; do not send it to support.
If something goes wrong
- No reset email?
- Check spam or junk and confirm the email address. Use the newest reset email. Contact support if it still does not arrive.
- Awaiting approval or no download?
- Check your status in the portal. Wait for approval or the approved installer; the website account alone does not provide a download.
- The website signs me in but I cannot see my records.
- Open the Windows desktop app. The website manages your testing access; your care workspace is on your computer.
- I cannot edit, or my saved record is missing.
- Check Account & trial access. For a missing record, check the selected placement, record type, search and completed-record filters.
- It says saved but the list did not refresh.
- Do not press Save again. Reopen the page and check the saved item first.
- I cannot unlock the desktop app.
- Resetting your website password will not fix this. On the desktop unlock screen, select Forgot your unlock password? and follow the prompts using your household recovery code. Keep your existing files and backups. Contact support if you cannot continue; never send your recovery code.
Need a hand?
Tell us the stage or page, what you tried, what you expected and what happened. Include your app release if available. Check screenshots before sharing; leave out passwords, authenticator codes, recovery codes and children’s information.
